Compliance Hub

1099Policy’s Compliance Hub gives facilities a self-service portal to view and download Certificates of Insurance (COIs) for contractors working at their location. It's designed to make audit preparation simple: No more chasing down documentation or relying on your staffing partner to pull records on your behalf.

Getting Access

To get started with the Compliance Hub, your staffing partner will invite your facility's primary contact via email. You'll receive an invitation with a magic link, which you’ll click to log in. There are no passwords to remember or accounts to create.

Viewing Contractor Coverage

The Compliance Hub displays a clean, simple table with the following information for each contractor assignment:

  • Contractor name: The name of the individual who worked at your facility.

  • Effective date: The start date of coverage for that assignment.

  • End date: The end date of coverage for that assignment.

  • Certificate: A link to view or download the Certificate of Insurance (COI) for that assignment.

Each COI is tied to a specific engagement or assignment, so you'll see one entry per shift or project, rather than a single certificate per contractor. This ensures that each certificate accurately reflects the scope of work performed and the corresponding coverage period.

Filtering by Date

If you need to pull records for a specific time window (for example, a six-month audit period or a calendar year) you can filter the table by effective date and/or end date. Just select your desired date range and click “Apply” to narrow your results.

This is especially useful during carrier audits, where you may need to show COIs for every contractor who worked at your facility during a given period.

Managing Multiple Facilities

If you oversee more than one facility, the Compliance Hub makes it easy to switch between them. A dropdown menu at the top of the page lets you select which facility's records you'd like to view. Select a facility from the list, and the table will update to show contractors and certificates for that location.

Inviting Team Members

Once you receive access to the Compliance Hub, you can invite additional team members so they can access the portal on their own without going through your staffing partner each time.

Invited team members will receive the same magic link email and have the same access to view and download certificates for the facilities they're associated with.

Downloading Certificates

You can download individual COIs directly from the table by clicking the certificate link for any contractor assignment. If you need to download certificates in bulk, please reach out to your staffing partner and they can enable that capability for your account.

Understanding COIs

Each Certificate of Insurance corresponds to a specific contractor assignment (for example, a single shift or a defined project period). This is by design. Assignment-level COIs provide the most accurate proof of coverage because they reflect the actual scope and duration of the work performed.

During a carrier audit, auditors typically cross-reference your schedule of payments against corresponding proof of insurance. Having a COI that matches each payment entry makes it straightforward to demonstrate that coverage was in place when work was performed.

 Frequently Asked Questions

Why do I see multiple COIs for the same contractor?

Each COI covers a specific assignment or shift. If a contractor worked multiple shifts at your facility, you'll see a separate certificate for each one. This ensures that coverage accurately matches the work that was actually performed.

Can multiple COIs be consolidated into one?

COIs are tied to individual engagements, and carriers typically audit coverage on a per-payment basis. Keeping certificates at the assignment level provides the clearest proof of coverage for each period of work. If you have questions about how this works for your specific audit requirements, reach out to your staffing partner.

Do I need to store these certificates separately?

No. The Compliance Hub serves as your centralized record. You can access it any time you need to pull documentation for an audit or internal review, so there's no need to download and store certificates on your own unless you prefer to.
